DOCUMENT DESTRUCTION CONFIDENTIALITY AND SECURITY
Subject to your authorization, National Archives will shred documents and
boxes already in our inventory or pick up containers from your facility. Strict
shredding practices ensure a closed and consistent implementation, resulting
in a tightly controlled, documented process that limits security breaches. We
do this on a per-request basis or on a pre-established retention schedule. Only
after written and confirmed notarized authorization for destruction of your
records will we proceed. All sensitive materials are shredded beyond practicable
reconstruction. Upon completion of the destruction of your records, a written
certificate of destruction is issued to assure confidentiality and compliance
to legal requirements.
National Archives assures confidential and secure destruction of materials
by enforcing the following procedures to ensure protection against identity
theft.
Employee hiring and screening
- Employees must produce a law enforcement clearance, which is kept on file.
A seven-year employment history is also required and kept on file.
- All employees must sign a confidentiality agreement before employment begins.
- All drivers must meet all state licensing requirements.
Plant security
- All non-employees entering the facility must sign a log with their name,
time-in, affiliation, and time-out.
- All visitors to our facility must be escorted by a National Archives employee
and are not left unattended.
- A secure area within the plant is devoted only to the document destruction
process. Unauthorized access to the destruction area is prohibited.
- Materials to be destroyed are always attended by a company employee or physically
secured from unauthorized access before destruction.
- There is an audible, monitored alarm system in place and utilized when the
building is unoccupied.
- Closed circuit video cameras monitor activity into and out of the building
at all times.
Material pickup and transport
- Written policies for drivers and processing employees are in place.
- Drivers, assistants, and plant employees wear company uniforms.
- All vehicles have applicable government inspections, registration, and insurance.
- All vehicles have lockable/securable cabs and securable enclosed boxes.
